Dublin City Cleaning Ltd. cleans windows, gutters, fascias and soffits for homes and businesses around Dublin. This page explains what personal information we keep, why we keep it, who helps us look after it, how long we keep it, and what you can ask us to do with it.
Who we are
Dublin City Cleaning Ltd., 46 Windsor Avenue, Fairview, Dublin 3, D03 W1R0. Email info@dublincitycleaning.com or call 089 406 2271. We decide how your information is used, so under the GDPR we are the data controller.
What we keep
- Your name, phone number, email address and the address of the property we clean, with its Eircode.
- The work we quote for and do: dates, services, prices, and notes that help on the day, such as access, parking or pets.
- Invoices and payments: what was paid, when and how. When you pay by bank transfer we see the name and reference on the payment.
- Messages between us by text, WhatsApp, email, our website forms, Facebook Messenger and Instagram.
- Photos our team takes of the work, and reviews you leave for us.
- On our website, the cookies described under Cookies below.
We do not ask for sensitive information such as health details.
Why we use it
- To quote, book, do and invoice the work you ask for, plan our team’s day and route, and keep in touch about your booking, including a reminder text the day before. We need this to do the job you asked for.
- To follow up on a quote you asked us for, and to text past customers about another clean within twelve months of the last job we did for them. You can stop these at any time: reply STOP to any of our texts, or just tell us, and you will not get another. This is our legitimate interest in keeping in touch with our own customers about the same services.
- To keep the accounts and records that Irish tax law requires.
- To show photos of our work on our website and Google Business Profile, and to quote your review, only when you have said yes. We never publish your name or house number. You can change your mind at any time.
- To see how our website is used and how our posts and ads do, through the cookies below.
Messages on Facebook and Instagram
When you message our Facebook page or Instagram account, your message and the name on your account come into our team inbox so we can answer you. A person on our team replies to you in the Facebook or Instagram app. Nothing replies to you automatically.
Who helps us
We do not sell your information or pass it to anyone for their own marketing. These companies host or carry it for us, under contracts that only let them use it to provide their service:
- Supabase, which holds our customer database in Ireland, and Cloudflare, which runs the app our team uses.
- Google: email, documents, our Google Business Profile, Google Analytics and reCAPTCHA.
- Apple: texts and iMessages from our company phone.
- Meta: WhatsApp, Facebook, Instagram and the Meta Pixel.
- Revolut Business, our bank.
- Anthropic, whose AI tools help us draft messages, reply to reviews and plan the day.
- GitHub, which keeps encrypted backups of our database.
- The company that hosts our website, and our accountants.
Some of these companies are based in the United States or use servers outside the European Economic Area. Those transfers are covered by the EU-U.S. Data Privacy Framework or the European Commission’s standard contractual clauses.
How long we keep it
- Your customer record, with your contact details, address, job history and messages, for as long as you use us and for six years after the last job, the same as our tax records. After that we delete it.
- Invoices, payments and the records behind them for six years, as Irish tax law requires.
- Photos and quoted reviews until you ask us to take them down.
- If you ask us to stop texting you, we keep your number on a do not contact list so you do not hear from us again.
Keeping it safe
Our team signs in to see customer information, and each person sees only what their work needs: our cleaners see only the jobs on their own schedule. Our database is encrypted, and so are its nightly backups.
Your rights
You can ask us at any time, free of charge, to:
- tell you what we hold about you and send you a copy;
- correct anything that is wrong;
- delete your information;
- stop texting you about cleans, or you can just reply STOP;
- take down a photo, or a review of yours we quoted;
- limit how we use your information, object to it, or send it to someone else.
We reply within one month. If you are unhappy with how we handle your information, you can complain to the Data Protection Commission at www.dataprotection.ie.
Deleting your information
To have your information deleted, including anything you sent us on Facebook Messenger or Instagram, email info@dublincitycleaning.com or message us with “Delete my data” and the name or phone number we know you by. We delete it within 30 days and let you know when it is done. We keep only what the law makes us keep, such as invoices for six years, and your number on our do not contact list if you asked us to stop texting.
